IFRA, SDS and COA: The Safety Documents Every Fragrance Buyer Should Ask For

IFRA, SDS and COA fragrance documents

If you are launching a perfume, candle or cosmetic, the fragrance oil you choose is not only a creative decision. It is also a safety and compliance decision. Three documents do most of the work, and a serious supplier should provide all three without hesitation.

1. The IFRA certificate

The International Fragrance Association (IFRA) publishes standards that restrict or prohibit certain materials, and set maximum use levels depending on how a product is used. A fine fragrance sprayed on skin is treated differently from a candle or a rinse-off shampoo. An IFRA certificate of conformity for a fragrance oil tells you the maximum percentage of that oil you can use in each product category while staying within the standards.

In practice, this is the document you check before deciding your dosage. If the certificate says an oil can be used at up to 18% in a leave-on body product, that is your ceiling.

2. The Safety Data Sheet (SDS)

The SDS, sometimes still called MSDS, describes the hazards of the oil as a chemical mixture: flammability, handling precautions, first aid, storage and transport information. Your production team and your logistics partner need it. The flash point listed on the SDS, for example, matters for shipping and for safe candle production.

3. The Certificate of Analysis (COA)

A COA relates to a specific batch. It reports measured properties such as appearance, specific gravity and refractive index, confirming that the batch you received matches the standard. Comparing COAs over time is a simple way to spot consistency problems before your customers do.

Why this matters for small brands

Marketplaces, retailers and export buyers increasingly ask for this paperwork. Having it ready makes onboarding faster and protects your customers. It also protects you: if a question ever arises about your product, documented compliance is your best defence.
