Choosing a fragrance oil supplier is one of the most important decisions a perfume, candle or cosmetics brand makes. The oil is the product – if it changes between batches, your customers notice. Use this checklist before you place a bulk order.
1. Start with samples
Never buy a kilo on a description alone. Smell on blotter, then on skin, then in your actual base over several days. A good supplier will offer a sampling route – ours is a 12-oil sample kit, with the cost adjusted against larger orders as per the kit terms.
2. Understand the MOQ
Minimum order quantities vary widely. At Haveli AI bulk oils start at 1 kg per fragrance, with 5 kg packs for scale, which lets new brands test several scents without tying up capital.
3. Ask for documentation
- IFRA guidance – maximum use levels by product category
- SDS (Safety Data Sheet) – handling, storage and transport
- COA (Certificate of Analysis) – batch-level specifications
These matter for retail listings, export and your own peace of mind.
4. Check batch consistency
Ask how the supplier controls repeat batches. Every Haveli AI batch is evaluated against its reference on the bench before dispatch.
5. Clarify pricing
Know whether prices are ex-factory, whether GST is included and who pays freight. Our prices are ex-factory Mumbai, GST at 18% is added on a proper tax invoice, and freight is paid by the buyer.
6. Know the dispatch time
Plan launches around realistic lead times. Our standard is dispatch within 15 working days, subject to SKU availability.
7. Read the cancellation policy
Bulk oils are usually made or filled to order, so confirmed orders are often non-returnable. Read the policy first – another reason to sample.
8. Match oil to application
An oil that performs beautifully in alcohol may behave differently in wax or soap. Tell your supplier the end product so they can guide you.
9. Look for depth of library
